Returns, warranty and repair software for watches.

For repair-heavy products, the service book is the business.

ReturnMate is returns, warranty and repair management software for Shopify merchants selling watches and repair-heavy products. It takes service work in with a logged chain of custody, assigns it to a named bench with labour and parts tracked, quotes out-of-warranty repairs after inspection and takes payment through Shopify checkout, accepts third-party items without refund exposure, and reports service revenue separately from warranty cost.

§ 01 — WHY THIS CATEGORY

Four things a generic returns app gets wrong here.

A returns app models refunds. A watch business runs on service — and without a way to quote, bill and track bench work, profitable repairs get turned away or absorbed as goodwill, and a service line never forms.

No quote means the answer is no

An out-of-warranty watch arrives for service and there's no clean way to price it. So it's declined, or done for free — either way the revenue walks.

Service revenue lost

Payment outside Shopify never reconciles

Bank transfers and paper invoices sit outside the store you already reconcile. Service money should land where every other sale does.

Reconciliation labour

Bench time is invisible

Without labour recorded per job, nobody knows whether the service book is profitable or a slow leak dressed up as customer care.

Unpriced labour

Customer property sits on-site

A $4,000 watch on a shelf with no custody record is a dispute waiting to happen. Every handover needs a person and a timestamp.

Disputes you can't settle
  • Third-party items get refused when there's no flow that avoids refund exposure
  • High-value items need serial and photo proof at both ends of every journey
  • Remote Resolve avoids shipping entirely when advice or a part fixes it
  • Quotes need an expiry, or open quotes hold the bench hostage
§ 02 — THE SERVICE WORKFLOW

A service workflow that bills.

The repair path is a first-class workflow rather than a status. Diagnosis, quote, payment, labour and resolution all sit on the same record as the original claim — and the commercial steps are built in rather than improvised.

§ 03 — ONE JOB, MAPPED

A watch you never sold, billed properly.

The hardest service job is the one that isn't a return at all: an out-of-warranty watch bought somewhere else. Handled as one record, it's verification, a priced quote and zero refund exposure — a service line, not a favour.

QUESTION 01VERIFICATION

What exactly did we take in?

Serial and condition photographed at intake, and every handover after that logged. On a high-value item, the intake record is the dispute settlement.

Serial and photos captured at receiving; each handover logged with person and timestamp.

QUESTION 02ECONOMICS

What is this worth fixing for?

A movement service priced from real labour and parts, quoted after inspection rather than guessed at the counter.

Quote sent with an expiry; payment through Shopify checkout returns the job to the queue.

QUESTION 03EXPOSURE

What if they bought it elsewhere?

An item you never sold must never see a refund or store-credit path. The TPR flow keeps it commercially separate from your own sales.

TPR-prefixed RMA — a service line without refund exposure.

§ 04 — SERVICE INTELLIGENCE

Every service job is also quality data.

Technicians classify against a taxonomy built for the category, so the service book prices itself over time — which faults are profitable, which products keep coming back, and what a movement service actually costs.

  • Customer-reported symptom kept separate from the technician-confirmed diagnosis
  • Average repair cost and labour reported by product and fault type
  • Prior repairs on the same serial visible to the technician at the bench
  • Labour and parts cost trends, so quoting improves with every job
  • Repeat-failure thresholds per SKU raise an alert when a product crosses a limit
  • Reporting exports for manufacturers and suppliers

The reporting layer is on fault tracking; the repair workflow on warranty & repairs. Warranty determinations behind the service book are covered in our warranty management guide.

§ 05 — INTAKE & RETURN

How a high-value item moves — or doesn't.

The right intake path depends on the customer and the item, and sometimes the right answer is that nothing ships at all. The portal offers what applies, and the custody record follows the item either way.

Tracked signature parcel

Australia Post or StarTrack with signature on delivery, global carriers cross-border — with the serial captured at both ends.

Counter drop-off and pickup

Handed over at the counter and receipted into the same RMA; pickup notifications when the job is done.

CUSTOMER IS LOCAL

Remote Resolve

Fixed over the phone, or a part sent with an outbound label generated automatically. The item never travels.

NO UNNECESSARY SHIPPING
  • Chain of custody logged from intake to return — every handover, person and timestamp
  • Photos and notes at receiving are what settle a condition dispute later
  • Per-stage SLA monitoring flags a stalled job before the customer calls
  • Offline repairs run the same pipeline when the item is already in your hands

Offline repair, Remote Resolve and the other workflow types are on RMA management; evidence capture at submission is on the customer portal.

§ FAQ

Watch service and returns questions.

How does a paid watch repair quote work?

You quote on the RMA after inspection, built from your labour rate and real parts cost, and the customer pays through Shopify checkout — so it settles in the store you already reconcile. Quotes carry sent, paid and declined states with auto-expiry and reminders, so a quote does not sit open forever, and when payment clears the job returns to the technician queue automatically.

Can we service watches the customer bought elsewhere?

Yes. Third-party repairs are raised as TPR-prefixed RMAs, deliberately separate from your own sales, with no refund or store-credit path exposed on an item you never sold. For a repair-heavy retailer that's a service line, not an exception.

Can we resolve something without the watch being sent in?

Yes — Remote Resolve covers cases fixed over the phone or by sending a part, with an outbound label generated automatically. No unnecessary shipping of a high-value item.

How do we prove what we received?

Serial numbers, photos and notes are captured at receiving and held against the RMA with timestamps, and every handover after that is logged with the person and the time. On a high-value item that chain of custody is what settles a dispute.

How is work assigned on the bench?

Jobs are assigned to a named technician or claimed from a queue, labour is recorded in minutes against a rate configurable per technician, and parts are consumed at cost. Each job carries a total cost, which is what tells you whether the service book is actually profitable.

Is warranty work separated from paid service revenue?

Yes. In-warranty cost is reported separately from paid repair revenue, so out-of-warranty work shows up as the revenue line it is rather than disappearing into a cost centre.

How do high-value items travel?

As tracked parcels with signature on delivery — Australia Post and StarTrack domestically, global carriers for cross-border. Serial capture at both ends is what protects you on a high-value item, and customers who are local can hand the item over at the counter instead.

Can technicians work from the bench?

Yes. ReturnMate Tech, our technician app for iOS and Android, opens the right job from a device tag, QR code or carrier label and records the fault classification, diagnostic findings, photos, serial verification, labour minutes and parts consumed — writing to the same RMA the counter and office teams are looking at.

How much does ReturnMate cost?

ReturnMate has a Free plan at $0/month including 5 RMAs. Starter is $49/month for up to 50 RMAs, with Growth, Ops, Scale and Enterprise plans available for larger operations. Full details are on the pricing page at returnmate.io/pricing.
